Cloudbeds

Connect your Cloudbeds property so the assistant checks live availability and rates and sends the booking link.

Cloudbeds is a cloud hospitality platform that bundles a PMS, a channel manager and a booking engine. Connected to Bookline, the assistant checks your property’s availability and rates directly in Cloudbeds every time a guest asks, and sends them a link to your booking engine with the dates and occupancy already filled in so they can finish the booking.

  • A Cloudbeds account with API access.
  • Your Property ID: the number that identifies your property in Cloudbeds. You can see it in the address bar once you open your property (hotels.cloudbeds.com/connect/<ID>).
  • An API key with the read:room permission. You create it from your own Cloudbeds account; the steps are below.
  • The URL of your Cloudbeds booking engine, the page where your guests book online.

These steps summarise the official Cloudbeds guide. You need a user with administrator permissions on the property.

  1. Sign in to Cloudbeds and open Account → Apps & Marketplace.
  2. In the top menu, go to API Credentials and click + New Credentials.
  3. Fill in the form:
    • Name: Bookline.
    • Category: whichever fits best (for example, Guest communication).
    • Redirect URI: https://localhost. It is not used with API keys, but the field is mandatory.
    • If you manage several properties and want a single key for all of them, tick Enable for entire organization.
  4. Save. Cloudbeds shows a Client ID and a Shared Secret: just close that window, we do not need them.
  5. In the credentials table, scroll right to the API Key column and click Create on the row you just created.
  6. In the list of permissions tick read:room and click Create. It is the only permission Bookline needs: we only read availability and rates, we never write to your PMS.
  7. If you ticked Enable for entire organization, pick now the properties the key applies to.
  8. Cloudbeds asks for your password to approve the permissions and then shows the key (it starts with cbat_).
  1. In the portal, open Marketplace and look for Cloudbeds PMS. Click Install.
  2. Fill in the form:
    • Name: how you want this connection to appear in the portal (for example, the hotel name).
    • Property ID: your property number in Cloudbeds.
    • API Key: the key you just created.
  3. Save. Bookline verifies the connection with an availability query; if the key or the ID are wrong, you will see it right away.
  4. Open your lodging assistant and, in the reservations feature, select the Cloudbeds integration and enter the booking engine base URL (your Cloudbeds online booking page). Without that URL the assistant cannot send the booking link.

If you manage several properties, create one connection per property, each with its own ID. You can reuse the same key if you created it for the whole organization.

When a guest asks about a stay, the assistant collects the dates, the number of rooms and the guests (adults and children), queries Cloudbeds and answers with the availability and the nightly rate. If there is availability, it sends the link to your booking engine with those details already filled in so the guest can complete the booking.

  • The rate is the one Cloudbeds returns for those dates and that occupancy, divided by the number of nights. It includes any extra-guest supplements you have configured.
  • When the assistant can quote a range, it uses the cheapest and the most expensive rooms available.
  • For groups or requests that do not fit a standard booking, the assistant logs a request and you receive it like any other group request.

Does the API key expire?

No, as long as it is used at least once every 30 days. The assistant uses it on every availability check, so for a property with activity it does not expire. If the property closes for the season for more than a month, you may need to create a new key when you reopen.

I regenerated or deleted the key in Cloudbeds.

The previous one stops working immediately. Edit the connection in the Bookline portal and paste the new key.

Can Bookline change anything in my Cloudbeds?

No. The read:room permission only allows reading rooms, availability and rates. Bookings are created by the guest in your booking engine, as always.

The assistant says there is no availability, but there is.

Check that the Property ID is correct and that the rooms are open for sale in Cloudbeds for those dates. The assistant only sees what Cloudbeds returns as available to book.
